MISSED CALL → TEXT BACK Missed the call. Not the job. A fast, specific text keeps the callerfrom ringing the next number on the list. 00:00 missed call00:08 text sent00:41 reply → booked Missed callHomeowner · just now Hi, it's [Name] from[Business]. Sorry I missedyou, I'm on a job. What doyou need a hand with? I canusually come within 2 days. Delivered · 8s Pipe dripping under thekitchen sink. Any timethis week? Thursday 6pm work?I'll lock it in. Perfect, booked 👍

A missed call text should do two things: answer what the caller probably wanted, and offer them a time. That's it. "Sorry we missed you, we'll call you back" does neither. The caller is still standing there with a leaking pipe and no answer, so they ring the next number on the list.

Below are templates you can copy today, sorted by the kind of call you missed. Swap the words in [brackets] for your own.

The short version

  • Send the text fast. Seconds, not hours. The caller is still deciding who to call.
  • Answer the likely question in the first line. Don't just apologise.
  • Offer a specific time or a booking link, so the reply is easy.
  • Keep it under three short sentences and sign it with a real name.
  • Add a simple opt-out line. It keeps you on the right side of carrier rules.

Why "sorry we missed you" doesn't work

A plain apology tells the caller you exist. It doesn't tell them you can help, when, or what it costs. So it creates no reason to wait for you.

Think about why people call a home-service business. They want to know three things. Can you do the job? When can you come? Roughly what will it cost? A good missed call text answers at least one of those and makes the next step a one-word reply.

The basic missed call text template

Use this when you don't know why they called. It works for any trade.

Hi, it's [Name] from [Business]. Sorry I missed you, I'm on a job.
What do you need a hand with? I can usually get out within [timeframe].
Reply here or book a time: [booking link]

Why it works: it explains the missed call in five words, it asks an easy question, and it gives two ways to move forward. The caller can reply with one line.

Templates by type of call

Emergency or urgent jobs

Plumbing leaks, no heat, no power, a lockout. Speed matters more than polish.

Hi, [Name] from [Business]. Missed your call while on a job.
If this is urgent, reply URGENT and I'll call you back in [X] minutes.
Otherwise, tell me what's going on and I'll get you a time today.

Only promise a call-back time you can actually keep. A broken promise is worse than no promise.

Quote or estimate requests

Most missed calls during the day are people shopping for a price.

Hi, it's [Name] at [Business]. Sorry I missed you.
If you're after a quote, send me a photo and a rough size of the job
and I'll get a price back to you by [time]. Or grab a slot: [booking link]

Asking for a photo does two jobs. It gets the customer to commit a little effort, and it lets you price faster. If slow quotes are where you lose jobs, see how instant quotes work.

Repeat customers

If your system knows the number, use it. Past customers already trust you.

Hi [First name], [Name] here from [Business]. Missed your call, sorry.
Is it about the [last job] or something new?
I've got time on [day] if you need us back out.

Past customers who never hear from you at all are a separate leak. That's what database reactivation is for.

After-hours calls

Nights and weekends are when the next contractor is also asleep. Being first still wins.

Hi, it's [Business]. We're closed right now but I saw your call.
Tell me what you need and I'll reply first thing at [opening time].
Want the first slot tomorrow? Book here: [booking link]

When you don't do that kind of job

Saying no quickly is still good service. It also makes them remember you for the jobs you do.

Hi, [Name] from [Business]. Thanks for calling.
If it's [job type you don't do], we don't cover that, sorry.
For [your main services], I can get you booked in this week.

What every good missed call text has

PartWhat it doesExample
Who you areStops it looking like spam"It's [Name] from [Business]"
Why you missed itTurns a miss into a reason"I'm on a job"
The likely answerGives them a reason to wait for you"I can usually get out within 2 days"
One next stepMakes the reply easyA question, or a booking link
Opt-out lineKeeps you within carrier and messaging rules"Reply STOP to opt out"

Mistakes that kill the reply

  • Waiting too long. A text that arrives an hour later is answering a question the caller has already solved somewhere else.
  • Sounding like a robot. "Your call is important to us" reads like a call centre. Write the way you'd talk to the customer on their doorstep.
  • Asking them to call back. You missed them, so the next move is yours. Give them a way to reply by text.
  • Writing an essay. Two or three short lines. People read these on a phone, often while doing something else.
  • No name. A real first name gets more replies than a company name alone.

Example scenario

This is an illustrative example, not a real client.

A two-person plumbing company is halfway through a bathroom repair when a homeowner calls and goes to voicemail. Before, that call would have gone to the next plumber on the list. This time, a missed-call text goes out within seconds: "Hi, it's [Name] from [Business]. Sorry I missed you, I'm on a job. What do you need a hand with? I can usually get out within two days." The homeowner replies that a pipe is dripping under the kitchen sink. The owner texts back an evening slot, and the caller books it on the spot.

Should you send it by hand or automate it?

You can send these by hand. Save the templates in your phone and fire one off between jobs. The problem is the gap. When you're up a ladder or under a sink, the text goes out 40 minutes later, or not at all.

Automating it means every missed call gets the right text within seconds, whether you're on a roof or asleep. Replies still come to you, and you take over the conversation from there. That's what our missed-call text-back service sets up. We keep your existing number, so nothing changes for your callers.

Fair questions

Replying to someone who just called your business is normal practice. Rules about business texting differ by country and carrier, though. Keep it to a direct reply about their call, include an opt-out line, and don't add them to marketing texts without permission. If you're unsure, check the rules where you work.

What if they call from a landline?

A text to a landline won't arrive. A good automated setup only texts mobile numbers. If you send by hand, a quick call-back is the fallback.

How many follow-ups should I send?

One text, then one gentle nudge later the same day if there's no reply, is plenty for a fresh call. After that, leave it unless they reply. Anything more starts to feel like chasing.

Will automated texts sound fake?

Only if the template is generic. Write it the way you speak, use your real name, and answer the actual question your callers ask most. Then it reads like you, sent fast.

Start with one template

Pick the template that matches the calls you miss most, put your name and booking link in it, and save it in your phone today. That alone plugs part of the leak.

If you'd rather it happened on every missed call without you touching your phone, book a 15-minute call and we'll show you what it looks like on your numbers. Questions first? Email info@futureflexdigital.com.
